Getting on top of contracts

Waka Kotahi NZ Transport Agency keeps New Zealand's national transport system moving. But, with thousands of suppliers supporting its network it needed a better way to manage its contracts.

The challenge

Waka Kotahi had been using spreadsheets for contract registry and management, but ensuring consistency and oversight for such a large pool of suppliers was difficult.

The agency knew it needed to simplify the contracts management process and enable quick and powerful reporting, so it teamed up with Voco. 

Waka Kotahi was looking for efficiency, visibility, and transparency of its contracts.

The solution

In collaboration with Waka Kotahi, Voco took an Agile approach to rapidly build an effective alternative to spreadsheets. 

Using Microsoft's Azure SQL and Power BI Platform Voco created a user-friendly contracts application that could manage the agency’s huge volume of contracts and capture the right information.

The results

The Contract Manager app offered: 

  • better data structure and precision 

  • controlled access, allowing users to input information relevant to their specific roles 

  • a guided workflow for users, with key information at each step of the way 

  • simplified, on-demand reporting that could be tailored to meet the unique needs of users, dramatically reducing time spent reporting. 

     

The outcome was an efficient, transparent, and robust contract management system, ensuring the agency's contractual commitments were well-structured and easily accessible.
